New Features
There are hundreds of new and improved features added to Web Suite every year. The major features in Web Suite 2014 include:
- Automatic Master Budget: If you are maintaining budgets at the phase or sub-project level, you will love this new automatic master budget feature. For the top level parent project, Web Suite automatically combines the budgets of the child projects and presents you with the cumulative project budget. Same applies to the estimates.
- Budgets with Real-Time Information: In Web Suite 2014, we added Actual Cost and Actual Amount line items to the budgets (and estimates) that have values updated in real-time. It shows you how much of your cost and billing budget has been spent, and what is remaining. No longer do you have to visit other screens or run reports to know where you stand on each budget line item.
- Smart Attachment Rules: Two new rules added to the projects that allow you to automatically assign time and expense attachments to invoices as they are processed. The files get attached to the invoice automatically as soon as you process that invoice via the Billing Review or Manual Invoice screen. Since these are project level rules, you can turn them on or off for each project, or else set them up at the global level.
- Support for Unicode Characters: In Web Suite 2014, we have converted most of the text fields from standard text to Unicode text. This powerful under-the-hood change allows you to enter all the accented and special characters from all languages supported by your operating system.
- Contract Details at Phase Level: You can specify the contract amount for the services and expenses separately as you create project phases. This comes in handy if expenses are part of the overall contract, and you plan to track service and expense profitability separately.
- Enhanced Security: We have added several new security controls in Web Suite 2014, including the ability to hide the cost-specific bar charts in the Project Center. If you do not want your project managers to see the costs associated with their projects, just turn off that security permission.
- Purchase Order Management: We have enhanced the management of purchase orders significantly in Web Suite 2014. You can now specify a due date, reference number such as package receipt number when receiving items, and view the PO Number at the Vendor Bills level.
- More Custom Fields: Web Suite now has double the number of custom fields-from three to six - in Activity Codes, Expense Codes, time entry, and expense log screens, giving you the power to capture additional information. All related reports have been updated in the Report Center so that you can filter by any of these six custom fields.
- Time-Expense Quick Search: Many screens in Web Suite already had the Quick Search capability. Now we added this Search Item bar to the Sheet View, Expense Log and Reviewer screens, giving you the power to find information easily by typing the search criteria.
- New and Enhanced Reports: We added several useful, smart and intuitive reports in Web Suite 2014 and also enhanced many existing reports so you can get actionable information quickly and easily.
- Automatic Project Journals: Web Suite now makes an automatic Project Journal entry when certain key changes are made, for example, if you change the Project Due Date or increase the Contract Amount. This ensures that a perfect history of projects is maintained without you having to enter any data.
- Smart Scheduling: With this brand new feature, you can schedule employees to work on tasks where the start and end date might span multiple weeks or months. Web Suite then intelligently distributes the assigned work into weekly and monthly segments for the purpose of workload distribution and forecasting.
- Project Revenue Forecasting: In Web Suite 2014, we have enhanced the revenue forecasting algorithm so that it uses the bill rates from the project’s fee schedule and, therefore, calculates the forecasted revenue more accurately. This new and powerful feature takes full advantage of the new Smart Scheduling feature, giving your business managers a useful tool for true revenue projections for any desired time period.
- Attach Web References: This is a very useful feature that allows you to attach remote files and web links to your Web Suite records. It further enhances the existing Attachments feature by allowing you to link any web reference, such as a You Tube video, blog article, documents on your Google Drive, Drop box or Sky Drive, and so on. The possibilities are endless.
- Exchange Integration: This is a truly powerful feature that will simplify time capture for you. If your email server is Microsoft Exchange 2010, you will be able to see all your appointment on the new Appointment tab located under Time-Expense section. Simply click on any appointment to convert it into a time entry.
- Dashboard: Finally Web Suite provides a real-time dashboard with drag-and-drop functionality. You can view intelligent charts that display Cash Flow, Monthly Aging, WIP, Top 10 Clients, Top 10 Projects, and more.
