This screen displays the transactions related to a specific purchase order including billing, payment and receipt of items. By default it displays details for the purchase order selected in the Purchase Order screen. The details are brought forward from the Purchase Orders screen

 

Purchase Order Information:

 

Show Active Only:

Mark, if you want to view the transaction history of active POs only.

 

P.O. No:

The number of the Purchase Order.

 

Date:

Date on which the purchase order was created.

 

Vendor ID:

The ID of the Vendor associated with the Purchase Order.

 

Vendor Address:

Address of the vendor from whom the purchase is to be made.

 

Approval Status:

Displays the approval status of the purchase order. Displays different icons to reflect the PO status.

 

[blank] Not submitted     Submitted     Forwarded     Approved     Rejected

 

Memo:

Displays any additional comments for the active purchase order in the field. The information displayed here is related to the main purchase order.

 

PO History Grid:

 

The grid displays the details of transactions logged against the Purchase Order including receipt of any items against it, creation of vendor bills and payment details.

 

Type:

Displays the status or type of the line item. It displays 'Item Ordered' when service or expense items have been ordered from a vendor, 'Item Received" in case items received against a purchase order and 'Item Billed' in case of items which have been billed against a purchase order.

 

Date:

Date on which the purchase order was created.

 

Project ID:

The ID of the Project associated with the Purchase Order.

 

Item ID/Invoice No:

Displays the Service ID/Expense ID or the Invoice No. of the purchase order line item.

 

Units/Hours (Actual):

The number of units remaining after every transaction, (incase the purchase order has not been received in full) will be displayed here.

 

Units/Hours (Received/Billed):

The number of units received or billed against a particular purchase order will be displayed here.

 

Memo:

Click plus sign to open the memo pad. Here, you can enter text for each line item of the selected purchase order. Click image\ebx_1175109080.gifto add a date/time stamp to the memo.

 

Purchase Orders History Button Panel

 

Help:

Opens the Web Suite Help in the Purchase Orders History section.

 

Print:

Opens a Preview Report screen, where from you can print, preview or cancel the report.

 

Refresh:

Refreshes the grid with the latest saved data.

 

Return:

Closes the Purchase Order History screen.
