The Appointments screen displays a calendar with your Microsoft Outlook appointments.
This screen is not visible to a Supervisor, only to a Web Suite user.
The following are descriptions of fields on this screen:
Go to Date:
By default, it displays today's date but you can click on it to select any other date from the drop-down calendar. This date determines which appointments shown on the calendar.
You can also use the right/left arrow or today buttons to navigate to another date.
Show Weekends:
Select this option to include the weekends in the calendar. When checked, all your appointments for the weekdays as well as weekends display on the calendar. By default, it is unchecked.
Month/Week/Day:
Select the desired view for the calendar. As in Microsoft Outlook, you can view appointments for the entire month, week or only a day. You can even set the desired default view in the Preferences screen.
Calendar:
It displays your appointments for each day, depending upon the view chosen. The first row displays the day/dates (say Mon 2/10) while the first column displays the time slots (say 8am, 9am, and so on). You can see the details such as subject, start/end dates and duration, if you hover your mouse pointer on each appointment. The entries on the calendar are color-coded: blue indicates appointments not yet sent to BillQuick and purple indicates appointments already sent to BillQuick.
On double-clicking an appointment on the calendar, it opens the Send to BillQuick screen.
The Send to BillQuick feature is used to send your Microsoft Outlook synced appointments in Web Suite to BillQuick as time entries. You can enter details such as project and activity, edit the date, time and duration of the appointments, add notes, and flag the item as billable.
Project ID:
You can associate your appointment with any Web Suite project. Either type or select from the drop-down list the Project ID that you want to associate with the appointment. If you don't remember the ID, look at the descriptions in the drop-down list for the one that matches your project.
Project Name:
When you select a Project ID, this field is populated with the project name automatically.
Description:
The description of the appointment being sent to BillQuick as a time entry.
Activity ID:
You can associate this appointment with any Web Suite activity. Either type or select from the drop-down list the Activity ID for the item. If you don't remember the ID, look at the descriptions in the drop-down list for the one that matches your appointment.
Date:
This field displays the date of the appointment.
Start/End:
This field displays the start time and end time for the selected item.
Duration:
This field displays the duration (in hours) of the activity selected to send to BillQuick. It provides the billing hours for your time entry in BillQuick.
Billable:
Select this check box to flag the time entry as billable. The status will display in the BillQuick time entry screens after the information is sent.
Notes:
Enter any notes or a memo related to the appointment. The notes are transferred to BillQuick as a time entry memo. You can use the regular Cut/Copy/Paste shortcuts in Windows for the text here.
Send to BillQuick:
Click this button to send the selected appointment to the BillQuick database. By default, the logged in BillQuick database gets synced with these Web Suite appointments.
